A winter music-video plan needs a confirmed travel route, load-in order, equipment-care plan, indoor set plan, call sheet, and weather contingency.

Set the Winter Travel and Load-In Plan

Set the weather check, decision time, backup route, and person authorized to change the call sheet.

  • Allow extra time for storm delays, icy roads, and winter load-in.
  • Verify room conditions before booking instead of assuming a particular temperature.
  • Protect equipment during travel and allow it to acclimate before use.

Keep the indoor creative plan separate from the arrival plan. Run a practical test of lighting and sound inside; manage travel, load-in, and wet equipment at the door.

Plan the Indoor Sets, Lighting, and Audio

The production supplies and manages its sets, props, wardrobe, lighting, playback, audio, crew, and schedule.

  • Bring or arrange the props, wardrobe, backgrounds, and lighting the production requires, and protect them during travel and load-in.
  • Document fixture positions, camera settings, subject marks, and set placement for every setup that must repeat.
  • The stage is sound-treated, not soundproof. Bring the production-audio crew and equipment required, and test the room before booking.

Reserve time for lighting changes, playback tests, sound interruptions, equipment checks, and pickups.

Viva Studio Rentals books one production per day, giving that production full and undivided use of the 4,500 sq ft facility during the booked window. The facility includes a 2,000 sq ft soundstage, a 25 × 25 ft pre-lit white cyc, a client lounge, a 200 sq ft green room, a 200 sq ft hair and makeup room, and 1,000 sq ft of flex space.

Confirm Parking, Dock Use, and Call Times

Do not assume winter means lighter traffic, easier booking, or open dates. Double-check availability and build the call sheet around current travel conditions.

Build the Planned Winter Look Indoors

A winter look can be built indoors with production-supplied sets, props, wardrobe, backgrounds, and lighting. Test the indoor look before booking and confirm that each item fits through the 8 × 10 ft loading door.

  • Wardrobe can be selected for the indoor set, but plan coats and weather protection for travel and load-in.
  • Production-supplied props, wardrobe, backgrounds, lighting, or visual effects can suggest winter; confirm materials, safety, cleanup, and cyc requirements with the studio.
  • Designate separate wet and dry staging areas for coats, footwear, cases, sets, props, and wardrobe.

Document each approved set, prop, wardrobe, background, and lighting choice before the production date.

Use a Tech Scout to assign the client lounge, green room, hair and makeup room, and flex space to specific crew or staging uses. Confirm the sets, props, playback, and styling equipment the production will bring.
