Welcome to Viva Studios' Official Blog, where we share valuable insights, industry expertise, and tips for creators like you. In this post, we'll provide you with a comprehensive checklist to help you plan and execute a successful photo shoot at Viva Studios. With a detailed roadmap that covers all aspects of your shoot, you'll be better prepared to capture stunning visuals that tell your unique story.
Use this checklist to plan a photo shoot at Viva Studio Rentals. The booking includes a private 4,500 sq ft facility, a 2,000 sq ft soundstage, a pre-lit white cyc, the base lighting and grip package, support rooms, load-in, parking, WiFi, and manager access.
Pre-Production Planning
Step 1: Set Objectives and Key Messages
Before you begin planning your photo shoot, it's essential to establish clear objectives and define the key messages you wish to convey through your images. This will help guide your creative vision and ensure your images effectively communicate your desired message to your target audience.
Step 2: Assemble Your Team
A successful photo shoot relies on teamwork and collaboration. Choose experienced professionals who share your vision, including photographers, models, stylists, makeup artists, and assistants. Keep in mind the specific needs of your shoot and ensure your team is well-versed in the required techniques and approaches.
Step 3: Develop a Concept
Once your objectives are set, and your team is in place, develop your creative concept. This can include brainstorming ideas and gathering visual references to inspire your photo shoot. Create mood boards that represent the desired atmosphere, color palette, lighting, and overall aesthetic.
Logistics and Coordination
Step 4: Choose an Ideal Date and Time
Plan your photo shoot at a date and time that accommodates all involved parties and aligns with the availability of Viva Studios. Make sure to reserve enough time for setup, shooting, and breakdown. Consider factors like natural light availability (if relevant), and account for potential schedule changes or delays.
Step 5: Book Viva Studios
Share the concept, crew size, and equipment requirements when booking. The base package is included. Additional cameras, lenses, lighting, and grip are available separately through Viva Camera. Post-production is not part of the studio rental.
Step 6: Establish a Schedule and Shot List
Create a detailed schedule and shot list that outlines the order and objectives of each shot during the photo shoot. This will help maintain organization and efficiency on the day of the shoot, ensuring each shot is executed as planned. Share this schedule with your team to ensure everyone is on the same page.
Preparing for the Shoot
Step 7: Scout Viva Studios and Obtain Permits (If Required)
Book a free 30-minute Tech Scout to review the lighting, layout, load-in route, and studio and support spaces. Confirm any project-specific permissions or equipment restrictions before the booking.
Step 8: Wardrobe, Props, and Set Design
Coordinate wardrobe, props, and set design with the production team before the shoot. The production supplies its own props and set pieces; the 1,000 sq ft flex space and truck-height dock support staging and load-in.
Execution and Wrap-up
Step 9: Arrive Prepared and Energized
On the day of the shoot, arrive well-rested, and prepared. Ensure all equipment is checked and ready for use, and the studio is set up according to your plan. Brief your team once more on the day's objectives, shot list, and schedule. Strive to create a positive and collaborative atmosphere throughout the shoot to achieve the best results.
Step 10: Review and Post-Production
After the shoot, review the images and hand the selected files to the production’s own post-production team. Image editing and retouching are not part of the studio rental.
The checklist covers pre-production, the shoot day, and post-production. Viva provides the booked facility, included base package, and direct access to a studio and equipment manager.
