Host Your Creative Workshop or Event at Viva Studios

A studio workshop or small creative event requires a confirmed capacity, layout, schedule, equipment plan, staffing plan, and cleanup plan. Viva Studio Rentals should confirm the proposed use before a booking is made.

The facility is designed primarily for film, video, and photography. If you are considering a workshop, masterclass, or small creative event, contact Viva Studio Rentals to confirm that the format, attendance, setup, and schedule are suitable.

Assessing the Unique Spaces at Viva Studios

Viva Studio Rentals is one private 4,500 sq ft facility, not a collection of event rooms. Review the production and support areas together during a free 30-minute Tech Scout.

  1. Soundstage: The 2,000 sq ft soundstage has a 45 × 40 ft floor, 18 ft ceiling, 13.5 ft grid, and a 25 × 25 ft pre-lit white cyc. Capacity and seating layouts must be confirmed for the proposed use.
  2. Support rooms: The facility includes a 200 sq ft green room, 200 sq ft hair and makeup room, 1,000 sq ft flex space, two kitchens, and a client lounge. These are not advertised as breakout rooms.
  3. Production setup: Use the flex space for sets and staging. Bring any meeting, presentation, or production equipment that is not listed in the base package.
  4. Outdoor use: No outdoor event area is included in the documented studio offer. Confirm any exterior access or activity with the studio before booking.

Customizing Your Event Setup and Décor

With a clear understanding of the spaces available at Viva Studios, it’s essential to configure the setup and décor to match the needs and aesthetics of your event:

  1. Opt for Versatile Seating Arrangements: Choose seating options that cater to your event's purpose, such as theatre-style seating for presentations or a round-table configuration for interactive workshops.
  2. Emphasize Branding Elements: Incorporate your brand's visual elements or those of your sponsors through banners, posters, and digital displays to create a cohesive and professionally branded event.
  3. Create an Inspiring Atmosphere: Utilize creative decorations and lighting to set the tone for your event and inspire attendees from the moment they walk in.

Planning and Organizing Your Workshop or Event

Meticulous planning and organization are key to delivering a smooth and successful workshop or event at Viva Studios.

  1. Develop an Event Agenda: Outline a clear schedule for your event, detailing specific timings for activities, presentations, breaks, and networking opportunities.
  2. Communicate with Participants: Before the event, share essential information with the attendees, including the agenda, location details, and any materials or equipment they should bring.
  3. Prepare Your Support Team: Coordinate with your team members and assign them specific tasks, such as registration, technical support, or facilitation duties, to ensure a seamless event experience.

Leveraging the Services and Expertise of Viva Studios

Confirm what the booking includes before planning a workshop or event:

  1. Studio support: Every booking includes direct access to a studio and equipment manager. The client remains responsible for event staffing, facilitation, registration, and production crew.
  2. Technology: High-speed internet and four Aputure Nova P300c lights are included. Audio-visual equipment, cameras, lenses, and additional lighting or grip are not part of the base package.
  3. Post-event work: Event recording, editing, and promotional materials are not included. Arrange the crew and post-production required for the event.

Promoting Your Event to Drive Attendance and Engagement

Attracting enthusiastic attendees who will actively engage in your workshop or event is critical to its success.

  1. Leverage Social Media and Email Marketing: Utilize your existing communication platforms to spread the word about your workshop or event, tailoring your messaging to resonate with your target audience.
  2. Offer Sneak Peeks, Testimonials, or Exclusive Content: Generate excitement by providing potential attendees with a glimpse of what they can expect from your event, such as speaker interviews, past event highlights, or valuable insights from previous attendees.
  3. Establish Strategic Partnerships: Collaborate with relevant influencers, organizations, or industry professionals to expand your event's reach and credibility.

Unlock the Potential of Viva Studios for Your Next Event

Viva Studio Rentals may suit a workshop, masterclass, or small creative event only after the proposed use, capacity, layout, equipment, and schedule are confirmed. Review the facility during a Tech Scout before booking.

Contact Viva Studio Rentals with the event format, attendance, setup, timing, and equipment needs. If the use is approved, the booking provides exclusive use of the facility for one production during the booked window and direct manager access.
